Tavel planning items on a map of the world

When a worst-case scenario unfolds, event planners need a capable, trusted team that’s available at a moment’s notice. During times of global unrest, I'm reminded more than ever why our team’s risk management capabilities are essential to strong corporate event and incentive travel programs.

Just before the bombing began in the Persian Gulf, I was gathered with international event planning colleagues in the Middle East at the SITE Global Conference in Abu Dhabi. My experience there reinforced the region’s potential for incentive travel and the importance of disciplined risk management.

Although my original itinerary included additional destinations, real-time intelligence from our global security partner led me to adjust my plans. I continued to Dubai with vetted partners and returned home safely, informed and inspired.

When conditions shift quickly, event owners need a trusted partner who can protect people, investment and experience—without hesitation.

3 risk management capabilities consistently stand out

1. Legal expertise in corporate event hospitality, not boilerplate contracts

Many event management agencies rely on third‑party counsel or boilerplate contracts. Look for embedded legal expertise that directly protects your investment when conditions change.

Our in‑house legal team has dedicated events and incentive trip counsel, bringing specialized hospitality contract expertise that elevates protections from the start.

This approach strengthens contract language beyond typical industry standards and becomes especially critical when unforeseen events require confident, contract‑backed action.

Client story: How we protected the investment for one corporate incentive travel client

When rapidly evolving global conditions impacted an international incentive program, our legal team activated.

Robust force majeure, frustration of purpose and non‑performance protections were already in the hotel agreements (language that exceeded standard industry templates). When the program was canceled due to external conditions, ITA Group confidently applied those provisions.

Because of our hotel and supplier relationships—and our buying power—conversations quickly shifted from rigid enforcement to collaborative problem‑solving. Suppliers explored alternatives and aligned outcomes that reduced financial exposure for the client rather than compounding it.

This resulted in 100% recovery of hotel deposits and the successful mitigation of downstream financial risk. It's an important example of why legal protections should be designed proactively.

2. Proactive event security and global risk intel for group travel

Most corporate security models are built for executives, not hundreds or even thousands of participants moving together internationally.

ITA Group’s security and risk management capabilities are purpose‑built for group movement. Supported by a long‑tenured global security partner, we receive frequent briefings and prescriptive guidance tied to evolving world events. This delves so much deeper than headlines.

Rather than reacting to news cycles, the team translates intelligence into practical, program‑level implications.

  • Safety considerations
  • Attendee impact
  • Decision timing

Leadership can act decisively, prioritize attendee confidence and pivot the program strategy while maintaining clarity and control. Our approach is built into the management fee, not an additional line-item, unless clients decide to budget on-site security.

Client story: How we rebuilt an incentive trip experience on a tight timeline

A client pivoted incentive travel plans after regional political unrest made the original destination too risky.

In under one week, we completely rebuilt the program. We secured a new destination, rebranded the program, re-registered 285 attendees, reticketed flights and conducted a working on-site walk through.

3. Trusted supplier partnerships boost event risk resilience

In moments of disruption, outcomes are often determined by who holds influence. A strong event management agency can call on robust supplier partnerships when clients need help.

Maintaining long‑standing, trusted relationships with key suppliers requires ongoing investment, continual conversations and genuine mutual respect. We take pride that our contracts are built with a shared risk and mutuality.

Supplier relations remain one of the most rewarding aspects of my work. I see how it pays off when programs experience unexpected emergencies like:

  • Severe weather
  • Public health crisis
  • Geopolitical tension

We know who to call and likely have them on speed dial. These personal relationships enable faster collaboration, greater influence, and practical solutions that help protect client investments and reduce exposure during volatile conditions.

Client story: How this corporate event client celebrated our partnership

In a touching LinkedIn post recounting a positive experience, this insurance client called our work “extraordinary.”

“The past two weeks meant long days, quick decisions and constant change—but what stood out most was the attitude everyone brought to it. In the middle of the chaos, there was positivity, collaboration and even a lot of laughter as we figured things out together.

My account executives at ITA Group have always played critical roles in our incentive programs. But over the past two weeks, they were so much more than business partners. They were the steady voices reminding me everything would work out—and they were right.

Moments like this make those partnerships feel more like friendships that have lasted a decade.

The only reason a pivot of this magnitude was possible was because of the trusted relationships the ITA Group team has built across the industry. When things go wrong, those relationships are what make the impossible possible.”

Testimonials like this remind me that how we ensure event safety and security matters more than ever. Our agency’s behind-the-scenes, problem-solving capabilities are among the things our partners value most.
